Changing the User ID and PIN Number Used for the SmartVault Plug-in for Microsoft Outlook
When you download and install the SmartVault Plug-in for Microsoft Outlook, you are prompted to get a PIN number and authorize the SmartVault Plug-in for Microsoft Outlook to securely communicate with your SmartVault account.
This PIN number is specific to your SmartVault user ID.
If you use more than one SmartVault user ID, you will need to obtain a PIN number for each SmartVault user ID you want to use the SmartVault Plug-in for Microsoft Outlook with.
For example, assume that Carol Jones has her own SmartVault account, Carol Jones, CPA, and that she uses carol@jonescpa.com as the email address for her SmartVault user ID in this account. However, Carol is also president of a professional organization, Texas Tax Specialists, that also uses SmartVault to store and share documents, and Carol uses carol.jones@gmail.com as her SmartVault user ID in this account.
When Carol uses her carol@jonescpa.com email address as her SmartVault user ID with the SmartVault Plug-in for Microsoft Outlook, she can see all the vaults, folders and files she has access to in her Carol Jones account. However, she can’t see documents in the Texas Tax Specialists account. However, when Carol uses her carol.jones@gmail.com email address as her SmartVault user ID, she can see vaults, folders, and files she has access to in the Texas Tax Specialist account.
However, if Carol has Microsoft Outlook up and running and realizes that she needs to change the SmartVault user ID associated with the plug-in, she can do so in just a few clicks.
To change the user ID and PIN number used for the SmartVault Plug-in for Microsoft Outlook:
1. Open Microsoft Outlook.
2. Create a new email.
3. On the SmartVault area of the Microsoft Outlook Toolbar ribbon, click Send Link > Setup.
4. Click the browse button (...) next to the SmartVault User ID field.
5. Type in another email address you use as a SmartVault user ID, and then click OK.
6. Click Get PIN to go to the SmartVault portal and get a security PIN that you can use with the additional email address you use as a SmartVault user ID. This PIN is used to authorize the SmartVault Plug-in for Microsoft Outlook to securely communicate with the SmartVault account the additional email address is a member of.
7. If you are not already signed in to the SmartVault portal, the SmartVault Sign In page displays. Type your SmartVault user ID and password, and then click Sign In to sign in to the SmartVault portal.
After you sign in to the SmartVault portal, you will automatically be taken to a Request for Access dialog box where you can obtain your PIN. Copy the PIN number displayed in the User PIN field, and then click Allow.
8. If you are already signed in to the SmartVault portal, you will automatically be taken to a Request for Access dialog box where you can obtain your PIN. Copy the PIN number displayed in the User PIN field, and then click Allow.
9. Go back to your open Microsoft Outlook application, paste the PIN you copied into the Enter User PIN here field, and then click OK.
10. Click OK when the setup confirmation dialog box displays.
