Configuring Upload and Download Notifications
Configuring Upload and Download Notifications
SmartVault users, clients, and guests can receive email notifications when documents in vaults or folders are uploaded or downloaded.
By default, users, clients, and guests in an account do not receive email notifications when documents in vaults and folders are uploaded and downloaded.
However, users, clients, and guests who have permissions to view documents in a vault or folder can specify that they want to receive an email notification when someone uploads or downloads a document in the vault or folder.
For example, if Larry Larson has permissions to view financial statements stored in a folder called Monthly Financial Statements, Larry can specify that he wants to automatically receive an email notification every time someone like Carol Jones, Larry’s CPA, uploads documents into this folder.
SmartVault Administrators and Vault Managers can also specify that they want users, clients, and guests with access to a vault or folder to receive upload and download email notifications.
For example, if Carol Jones, CPA the SmartVault Administrator in the account who originally gave Larry access to the Monthly Financial Statements folder, she can specify that she wants Larry to automatically receive an email notification any time she or any other user with access to the Monthly Financial Statements folder uploads a document into the folder.

“Configuring Your Upload and Download Notifications” .
For more information about configuring notifications for other users, see
“Configuring Upload and Download Notifications for Other Users” .
Users, clients, and guests, including SmartVault Administrators and Vault Managers, can also specify how frequently they want to receive email notifications when documents are uploaded or downloaded from SmartVault. By default, SmartVault sends upload and download email notifications once a day at 9:00 a.m. However, users can change this setting as needed. For example, users can specify that they want to receive upload or download email notifications once a day at 9:00 a.m., twice a day at 9:00 a.m. and 5:00 p.m., every hour, or every 15 minutes.
Finally, because not only can users specify their own email notifications, but also SmartVault Administrators and Vault Managers can specify email notifications for other users, SmartVault uses the most recent email notification settings specified for a user when a document is uploaded or downloaded from a vault or folder.
For example, assume that Carol Jones is a SmartVault Administrator in the Carol Jones, CPA account. Carol specifies that one of her clients, Dawn Davenport, who has permissions to the one of the folders in her account, should receive an email notification each time someone uploads or downloads a document in the folder. Once Carol specifies these settings, Dawn receives an email notification each time someone uploads or downloads documents in the folder.
As Carol and Dawn work together, Dawn decides that she really doesn’t want to be notified each time someone uploads or downloads a document in the folder. She really wants to be notified only when someone uploads a document.
Dawn updates her notification settings for the folder so that email notifications are sent only when someone uploads documents into the folder.
Carol could later go back and specify that she wants Dawn to receive both upload and download notification for the folder. However, if Carol does this, then once again Dawn will receive both upload and download notifications for the folder.
