Moving QuickBooks Company Files
You can move a QuickBooks company between vaults in the same account as well as between vaults in different accounts. When you move a QuickBooks company file, SmartVault moves all of the notes and documents attached to QuickBooks entries using the SmartVault Toolbar with the QuickBooks company file.
If you previously shared the QuickBooks company file, you may need to adjust security settings when you move a QuickBooks company file. Consider the following scenarios:
If you previously shared the QuickBooks company file using the Manage Group Members option, verify that the users you previously shared the QuickBooks company file with are members of the appropriate vault groups in the vault that you moved the QuickBooks company file to. If they are not, you will need to re-share the QuickBooks company file with these users using the Manage Group Members option. For more information, see “Sharing QuickBooks Company Files Using the Manage Group Members Option” .
If you previously shared the QuickBooks company file using the Share & Manage Access option, the sharing settings you specified for the QuickBooks company file are not retained when you move the QuickBooks company file. You must re-share the QuickBooks company file again using the Share & Manage Access option if you want to continue to share the QuickBooks company file. To move a QuickBooks company file:
1. Sign in to the SmartVault portal. For more information, see “Signing In to the SmartVault Portal” .
2. Select the account that contains the QuickBooks company file you want to move, and then browse to the vault that contains the QuickBooks company file you want to move.
3. In the Application folder, expand QuickBooks and then select the QuickBooks company file you want to move.
4. In the right task pane, click Move Company.
5. In the Move to this account field, select the account you want to move the QuickBooks company file to from the drop-down list.
6. In the Move to this vault field, select the vault you want to move the QuickBooks company file to from the drop-down list.
7. Click Move this company.
8. SmartVault displays a message telling you that the move is being processed and that an email will be sent to you when the move is complete. When you receive the email telling you the QuickBooks company file has been moved successfully, complete the following steps:
a. Select the account that contains the vault you moved the QuickBooks company file.
b. In the right task pane, click Refresh.
c. Browse to the vault that you moved the QuickBooks company file to, and then expand Applications > QuickBooks. The QuickBooks company file you moved should now display under QuickBooks.
