Providing the SmartVault Inbox to Guests
If you have a user ID associated with a client or user license, by default you have permissions to download and install the SmartVault Desktop software, which includes the SmartVault Inbox, SmartVault Toolbar, and SmartVault Drive.
If you have a user ID associated with a guest license, by default you do not have permissions to download and install the SmartVault Desktop software and then use the SmartVault Inbox, SmartVault Toolbar, and SmartVault Drive to upload and download documents from SmartVault or attach documents to entries in QuickBooks company files.
However, SmartVault Administrators and Vault Managers may allow users in an account with a guest license to use the SmartVault Inbox to scan, upload, and download documents and QuickBooks company files in the following scenarios:
There is a user in the account with a guest license who wants to use a Fujitsu ScanSnap scanner or a TWAIN-compliant (regular) scanner with the SmartVault Inbox to scan documents directly into folders in SmartVault.
You need to troubleshoot a QuickBooks company file issue for a user in your account with a guest license, and you simply need to use the SmartVault Inbox to quickly and easily transfer the QuickBooks company file back and forth with the guest for a short period of time while you troubleshoot the problem.
You need to have a user in your account with a guest license use the SmartVault Inbox to upload a QuickBooks company file for you to review only a few times a year, such as at the end of every quarter or at the end of every year, but your guest user does not need to perform any other tasks that require the SmartVault Desktop software, such as attaching documents to QuickBooks entries using the SmartVault Toolbar or backing up and restoring QuickBooks company files using the SmartVault Desktop software.
A user in your account with a guest license needs to upload a large file into SmartVault but is having trouble getting the large file to upload through the SmartVault portal user interface.
To provide the SmartVault Inbox to a guest, ask the guest to perform the following steps:
1. Sign in to the SmartVault portal. For more information, see “Signing In to the SmartVault Portal” .
2. In the address field of the web browser, type https://my.smartvault.com/users/smartvaultsetup.exe.
3. Click Download SmartVault Desktop for Windows.
4. Click Run.
5. On the Security Warning dialog box, click Run or Yes.
6. Review the welcome message, and then click Next.
7. Select the I accept the terms of the License Agreement check box, and then click Next.
8. Specify an installation folder for the SmartVault Desktop software, and then click Next.
9. If you want to create desktop shortcuts for the SmartVault Launchpad, the SmartVault Portal, and the SmartVault Inbox on your computer’s desktop, select the Create desktop shortcut check box for each item you want to create a desktop shortcut for, and then click Next.
10. Click Finish.
After installing the SmartVault Desktop software, users with a guest license can use the SmartVault Inbox to perform the following tasks:
Scan documents into folders in SmartVault.

Upload a QuickBooks company file or other large document (up to 2GB) into a folder in SmartVault.
