Running Batch Files to Create Client Folders from Email Contacts
After you create the MyContacts.bat batch file from the CSV file that contained your email contacts, run the batch file to create a client folder for each contact.
To run a batch file to create client folders:
1. In Windows Explorer, in the C:\MyContacts\Clients folder, double-click the MyContacts.bat file to run the batch file.
After you double-click the batch file, a Microsoft DOS window will display briefly, and the batch file will create client folders using the format you specified in your contacts CSV file in the Clients folder.
2. Review the list of folders that the batch file created in the Clients folder and remove or rename any folders as needed.
3. If you created more than 100 folders using the batch file, or if you want to organize the client folders you just created into groups, create parent folders as needed to help you group and organize your client folders.
Note: SmartVault recommends that you do not put all of the client folders you created into one vault or parent folder. If you put more than 100 client folders in a vault, displaying the list of client folders and scrolling through the list of client folders may take longer than you would like.
If you need to create groupings for you client folders, consider creating alphabetical groupings for client folders, similar to the groupings you might find in a physical file cabinet. You can create a parent folder for each letter of the alphabet, or you can use groupings of letters to create parent folders as shown in the following structure:
Clients A - D
Clients E - H
Clients I - L
Clients M - P
Clients Q - S
Clients T - Z
If you want to use a standard subfolder template in each client folder, after you create your client folders using the batch file, you can create additional standard client subfolders under each client folder as needed using a folder template and a batch file. For more information, see
“Creating Client Subfolders Using Subfolder Templates and Batch Files” .
After you have created all of the client folders and subfolders you need, copy your client folders and subfolders into SmartVault using the SmartVault Drive. For more information, see and
“Copying Client Folders and Subfolders Into SmartVault” .
