Scanning and Uploading Documents
You can quickly scan and upload documents into folders in the SmartVault portal
If you work in a non-hosted QuickBooks environment, you can use the SmartVault Inbox installed on your local computer to scan and upload documents into the SmartVault portal, You can also scan and attach documents to QuickBooks entries using the SmartVault Toolbar in one easy step.
If you work in a hosted QuickBooks environment, you use the SmartVault Inbox that you installed when you installed the SmartVault Desktop software on your local computer to scan and upload documents folders in the SmartVault portal. Once the documents are uploaded to the SmartVault portal using the SmartVault Inbox on your local computer, you can attach the document to the appropriate QuickBooks entry by using the paperclip icon on the SmartVault Toolbar inside QuickBooks and selecting the third option, Move from Inbox.
The following figure shows the Move from Inbox option on the SmartVault Toolbar Attach Documents dialog box.
This two step process for scanning and attaching documents to a QuickBooks entry in a hosted environment is required because most hosting providers do not provide a way to directly scan into their hosted environments.
You can use the SmartVault Inbox and SmartVault Toolbar with any TWAIN-compliant scanner to scan and upload documents into SmartVault. TWAIN-compliant scanners include most of the scanners provided by the major scanner manufacturers, such as Eastman Kodak, Epson, Hewlett-Packard, Xerox, and others.
SmartVault also provides custom scanning profiles for the Fujitsu ScanSnap desktop scanner series. Many SmartVault customers love using Fujitsu ScanSnap scanners. Fujitsu ScanSnap scanners are small, fast, easy to use, allow you to create a PDF from both sides of a page in a single pass, and are perfect for home and small business environments. For more information about the types of scanners you can use with SmartVault, see “Supported Scanners” .
