Sending and Copying Links
You can send a link to a vault, to a folder, or to a specific document stored in SmartVault.
For example, if you have shared a folder with a client, when you later upload new documents into the folder, in just a few clicks you can have SmartVault send an email that contains the link to the folder or to the specific document you just uploaded, along with a personal message letting your client know that new documents are available for them to review.
You can copy and paste a link to a vault, folder, or document into another document, such as a Microsoft Word, Excel, or PowerPoint file.
You can also copy and paste a link into the body of a personal email and then send the email from your personal email account. You might prefer to copy and paste the link into an email you send from your personal email account, rather than have SmartVault send the link for you, if you want more control over formatting the entire contents of the email. Also, you may want to copy and paste the link into an email you send from your personal email account if you find that some of your email recipients are not receiving automated emails from SmartVault.
Note: When SmartVault sends automated link emails, they come from notify@my.smartvault.com. Occasionally one of your email recipients may have their email spam filtering settings set to block emails sent by automated email systems such as the SmartVault email system. If you find that one of your recipients is not receiving automated emails from SmartVault, first ask your recipient to check their Junk or Spam folder for an email from notify@my.smartvault.com. If the link email is in their Junk or Spam folder, ask them to move the email into their Inbox and then add notify@my.smartvault.com to their email Safe Senders list. If the link email was not in their Junk or Spam folder, it was stopped by their email service provider’s spam filtering service. Ask your recipient to contact their email service and release the email and add notify@my.smartvault.com to their Safe Senders list. If you encounter this issue, you can also work around this issue by simply copying and pasting the link to the document, vault, or folder into an email from your personal email account and then sending the link from your personal email account, as emails sent from personal email accounts are less likely to be blocked by email spam filtering systems.
When you send a link, the person you send the link to must meet the following requirements before they can view the document:
• They must be logged in to SmartVault
• They must be a member of the same SmartVault account you are working in
• They must have access to the vault or folder that contains the document. When you send a link, you can see the list of users who have access to the vault or folder.
To send or copy a link to a vault, folder, or document:
2. If you are working in the Advanced view, complete the following steps:
a. If you want to send a link to a vault or folder, in the left tree pane, browse to and select the vault or folder that contains the document you want to send a link to.
b. If you want to send a link to a specific document, in the left pane, browse to and select the vault or folder that contains the document you want to send the link to, and then in the center pane, click the row, but not the name of the document itself, to select the document.
Note: If you click the name of the document, you will open the document.
c. If you want SmartVault to send the link, in the right task pane, click the Send Link link for the item, select the check box in front of each user you want to send the link to, specify any personal message you want to include in the email, and then click Send.
SmartVault sends an email with the link and any personal message you specified to the selected users.
d. If you want to copy and paste the link into a personal email or other document, in the right task pane, click the Get Link link for the item, ensure that the person you want to send the link to is listed in under Users with Access, and then copy and paste the link into a personal email or other document.
3. If you are working in the Files and Folders view, complete the following steps:
a. If you want to send a link to a vault or folder, browse to and select the vault or folder that you want to send a link to, in the right task pane, click the Send Link link for the item, select the check box in front of each user you want to send the link to, specify any personal message you want to include in the email, and then click Send.
b. If you want to send a link to a specific document, browse to and select the vault or folder that contains the document you want to send the link for, in the Actions column, click the Send Link to File icon next to the document, select the check box in front of each user you want to send the link to, specify any personal message you want to include in the email, and then click Send.
a. If you want to copy and paste a link to a vault of folder, browse to and select the vault or folder you want to send a link to, in the right task pane, click the Get Link link for the item, verify that the person you want to send the link to is listed under Users with Access, and then copy the link and paste the link into a personal email or other document such as a Microsoft Word, Excel, or PowerPoint file.
b. If you want to copy and paste a link to a specific document, browse to and select the vault or folder that contains the document you want to send the link for, in the Actions column click the Send Link to File icon, verify that the person you want to send the link to is listed under Select Users, close the dialog box, and then perform one of the following steps based on your browser:
If you are using Microsoft Internet Explorer as your browser, right-click the name of the document, click Copy Shortcut, and then paste the link into an email or other document such as a Microsoft Word or Excel file.
If you are using Mozilla Firefox as your browser, right-click the name of the document, click Copy Link Location, and then paste the link into an email or other document such as a Microsoft Word or Excel file.
