Syncing SmartVault Data with SyncToy
One program SmartVault recommends for synchronizing documents between your local hard drive and SmartVault account folders is SyncToy. SyncToy is a free application from Microsoft that allows you to synchronize documents stored in folders on your local hard drive with vaults and folders in SmartVault using the SmartVault Drive.
Note: If your computer is running the Windows XP operating system, you cannot use SyncToy to synchronize documents with SmartVault. Windows XP is older technology, and in Windows XP, the process of “mapping a drive” is called “creating Network Places.” The process works of “creating Network Places” works differently than the process of “mapping a drive” used in more recent versions of Windows, such as in Windows Vista and Windows 7.
Before you begin using SyncToy to synchronize data on you local computer with SmartVault, review the following items:
In order to use SyncToy, you must be able to map a SmartVault Drive. Only SmartVault users with user or client licenses can use the SmartVault Drive. Users with guest licenses cannot map a SmartVault Drive, and therefore can not use SyncToy to synchronize documents on their local computer with SmartVault.
Before synchronizing, first create the parent vault or folder in SmartVault where you want to synchronize your data. For example, if you want to synchronize everything under the My Documents folder on your local computer to SmartVault, first create the vault or folder in SmartVault where you want all of the folders and subfolders within SmartVault to be copied. For more information about creating vaults and folders in SmartVault, see “Creating Vaults” and “Creating Folders” .
Never try to synchronize the whole C:\ drive on your local computer with SmartVault. The C:\ drive on your local computer typically contains your applications and Windows operating system files. Application files and Windows operating system files do not allow anything to be written to them. If you try and synchronize these types of files, you may see several Access Denied messages during the Analysis phase of the synchronization.
Start small. Do a few tests with a couple of test folders that contain a small number of subfolders and files. Once you verify that synchronization is working the way you want to, you can move on to synchronizing larger numbers of files and folders.
To synchronize folders on your local hard drive using SyncToy:
1. Download and install SyncToy on your local computer. SyncToy is available at http://www.microsoft.com/downloads/en/details.aspx?FamilyID=c26efa36-98e0-4ee9-a7c5-98d0592d8c52.
2. Map a SmartVault Drive on your machine.
Note: You only need to map a SmartVault Drive once. However, you must map a drive before you can use the SmartVault Drive and GoodSync to synchronize data with SmartVault.
3. Open SyncToy.
4. Click Create New Folder Pair.
5. Under Left Folder, browse to and select the folder on your local hard drive that you want to synchronize with SmartVault.
6. Under Right Folder, browse to your SmartVault Drive and select the vault or folder in SmartVault you want to synchronize to, and then click Next.
7. Click Synchronize, and then click Next.
8. Type a name for your folder pair, and then click Finish.
9. Click Preview to run a test of the synchronization process.
10. Review the preview information, make any needed adjustments, and then click Run.
SyncToy displays a status bar as it synchronizes the files and folders, and then displays run results when the synchronization completes.
11. Review the run results, and then click Close.
