Viewing Activity Logs
For security and compliance, it is important to not only prevent unauthorized access to information, but to also be able to audit who has accessed sensitive documents. For example, you need to be able to know when someone uploaded, downloaded, deleted, or changed the properties of any document, or if someone changed access settings on a vault or folder.
If you have a SmartVault Professional plan, you can view user activity for an account, vault, or folder on-demand using activity logs.
Activity logs allow you to see when the following actions occur:
Someone uploaded, downloaded, deleted, or changed the properties of any document.
Someone created or deleted a folder.
Someone was added to or removed from the SmartVault Administrators group.
Someone was added to or removed from a vault-level group, such as the Vault Managers group or the Full Access group, using the Manage Group Members option.
Someone was given access to or had their access removed from a vault or folder using the Share and Manage Access option.
When you view an activity log, you can filter the type of activity you want to view by user type and date. For example, you can specify that you only want to view the activity for all guest users during the month of January for an account, vault, or folder.
When viewing activity for a selected vault or folder, you can also specify if you want to view activity for only a selected vault or folder, or if you want to view activity for not only a selected vault or folder, but also all subfolders below the selected item. For example, you can specify if you want to view activity for only the FY2011 folder, or if you want to view activity for not only the FY2011 folder, but also for the Q1_FY2011, Q2_FY2011, Q3_FY2011, and Q4_FY2011 subfolders within the FY2011 folder.
Note: SmartVault only provides activity logs from January 29, 2011 forward. You cannot view any activity that occurred before January 29, 2011.
 
To view an activity log for a vault or folder:
1. Sign in to the SmartVault portal. For more information, see “Signing In to the SmartVault Portal” .
2. In the Advanced view, in the left tree pane, select the account, vault or folder you want to view activity for.
3. In the right task pane, click View Activity Log.
4. In the User Type field, select the type of user you want to view activity for.
For example, select All if you want to view activity for all users. The All option includes any user with a user, client, or guest license. Select Clients if you want to view activity for only client users. Select Guests if you want to view activity for only guest users.
5. In the From Date, specify the start date for the activity you want to view.
6. In the To Date, specify the end date for the activity you want to view.
7. If you have selected a vault or folder and you want to view activity for both the selected vault or folder as well as for all subfolders below the vault or folder, select the Include all subfolders check box.
Note: The Include all subfolders option is not available when an account is selected because all vaults, folders, and subfolders are included automatically when you view activity for an account.
8. Click View.
SmartVault displays the activity log for the selected item.
9. If you want to export the activity log to a CSV file, click Export to CSV.
10. If you want to export the activity log to Excel, click Export to Excel.
Note: Depending on your version of Microsoft Excel, when you try to open a export to Excel, you might see a warning message about how the Excel file you are trying to export has a different format than specified by the file extension. If you see this warning message, click Yes. The export file is actually fine. The SmartVault team is working on adjusting the file format so you don’t see this message.
11. Click Close.
