A note is a simple text description that is associated with a specific QuickBooks entry. A note can be marked as urgent.

You can attach notes to a variety of QuickBooks entries. You must first open (or edit) an entry to attach a note.

If you have been granted access to attach notes to the current type of entry, the Note icon will be active in the SmartVault toolbar:

Click the Note icon to enter, view or edit the note.

Any note can be marked as urgent. While viewing your SmartVault account, you can quickly access your urgent notes.

You can share your notes with other people online by inviting them to your SmartVault account at our portal: https://my.smartvault.com.

Depending on your billing plan, you will be able to invite users as Administrators (full access) or Users (selective access controlled by you).

Delete a note from the SmartVault toolbar

  1. Open the QuickBooks company file with the SmartVault toolbar
  2. Locate the QuickBooks entry with the note to be deleted
  3. Double click the Note icon on the toolbar
  4. Select and delete the text in the Note dialog
  5. Click Close

The resulting icon should display Empty

Delete a note from the SmartVault Web portal

  1. Sign into to the web portal at https://my.smartvault.com
  2. Expand your account, vault and company file in the tree view or search for the Note at the vault or company level
  3. Open the folder where the note resides
  4. Select the note by clicking in the white space next to the name of the note in the Details (center) pane
  5. Click on the Delete Note link in the Note Tasks (right) pane
  6. Confirm that you want to delete the note by clicking Ok

How do I know what a note is attached to?     Back to top

A Note in SmartVault is always attached to a QuickBooks transaction; just the way a document is attached to a transaction. When a transaction is open, the Note icon on the SmartVault desktop Toolbar tells you whether a Note is attached or not and if the Note is marked Urgent. If there is no Note attached, the icon displays “Empty”. If a Note is attached, the icon displays “Note”. If the attached Note is marked Urgent, the icon is red and says “Urgent”.

From the SmartVault web portal, you can see the unique ID of the QuickBooks data entry to which the Note is attached.


Can I send a Note to a particular person?     Back to top

Currently, you cannot designate that a note is for any particular person. A note simply exists attached to a QuickBooks data entry. You can, however, see the last person who edited the note.

[We are considering expanding the Note capabilities in the future to allow assigning a Note as a To Do list item to a particular person and would be happy to receive your feedback on how you would like to see us improve on this capability.]
