How do I view a document that I've scanned?    Back to top

Once you have attached a document to an entry in QuickBooks—and have opened that entry (in the example below, the entry is a Check)—the folder icon on the SmartVault Toolbar will display a number, indicating how many documents are attached to that particular entry.

You can click on the folder icon in the SmartVault Toolbar to open the Documents window, which will display a list of all documents attached to this Check. The list shows a PDF icon and the name you have given to the attached document.

When you double click on the attached document from the displayed list, a new window will display the complete scanned document in a PDF file format. Or, you can highlight the document from the list displayed and click on the Open button to the right.



When previewing a scanned image, I see the pages upside down. How can I fix them?    Back to top

You can change the orientation of a scanned image using the rotation tools at the bottom of the Preview section, within the Attach Documents window. One arrow rotates the image clockwise, while the other rotates the image counter-clockwise.



How do I scan a document with more than one page?    Back to top

Many popular scanners allow you to scan multiple pages in succession through a document feeder. Check your scanner manual to see if you can scan multiple pages automatically. Otherwise, you must replace the document in your scanner each time you want to attach another page to a QuickBooks entry and click the Scan button. Each attachment to the QuickBooks entry counts as one document against your total count available; it can be 1 page or multiple pages in size.

SmartVault supports two types of scanners for scanning and attaching any paper document:

Can I speed up the scanning process?    Back to top

The scanning speed of documents is determined by your specific scanning equipment. Therefore, SmartVault cannot modify your scanner’s speed. However, you can speed up the scanning process by changing your scanner settings. For example, lowering the resolution of the scan (in dots per inch) may shorten scan speeds as well as reduce the file size of your scanned documents. Refer to your scanner manual or help instructions on the scanner manufacturer’s web site for more information.

Why isn't the paper clip icon in the SmartVault Toolbar active when I open QuickBooks?    Back to top

The icons on the SmartVault Toolbar are activated only when you open a QuickBooks entry that is supported by SmartVault for attaching documents. A list of the entries that you can attach documents to is provided in the QuickBooks entries list.

Working with the Scanning window (Other settings...)    Back to top

This dialogue allows you to modify the various scanner settings via the Attach window. The settings are good for that specific session of scanning only. To set these settings as default, use the feature available in the Options dialogue. Quickly select the Resolution, Image Type and other Options here. They are:


  • Auto adjust image brightness
  • Auto select feeder when ready
  • Enable duplex scanning
  • Enable use of document feeder - use this when using a flatbed scanner with a document feeder.
  • Show the native status window - select if you want to use the Native mode for scanning, which allows the use of the third-party scanner software.
  • Show the native scanning window - use when you want to see the third-party scanner user interface.


You may choose a variety of options in the Advanced... dialogue. The primary ones are defined below:



  • Page Size - allows you to choose the type of page that is being scanned.
  • Brightness - allows you to choose the brightness level of the scan.
  • Contrast - allows you to choose the contrast level of the scan.
  • Image Transfer Mode - allows you to choose from the default Memory, Native or On Disk modes.
  • Memory - uses the system's memory to transfer the image from the scanner to the preview window. This setting also uses the default settings of the scanner to render the image.
  • Native - allows the user to instruct SmartVault to use the scanner's third party software and modify the settings from its user interface.
  • On Disk - allows the user to transfer the image file to disk rather than memory while previewing.
  • Temp File Format - instructs SmartVault which file format to use when rendering the file in the Temp folder.
  • Clear buffer on completion - clears the buffer once the scan is complete.
  • Close device on completion - closes the connection between the host and the scanner once the scan is complete.
