Unable to access SmartVault after updating to the latest SmartVault Desktop

Due to how QuickBooks recognizes VeriSign certificates, SmartVault customers may experience issues regarding SmartVault application integration with QuickBooks.  Issues would occur after upgrading a SmartVault desktop versioned 3.0 or lower to a version 3.1 or higher.  These VeriSign certificates are used by SmartVault and other third party applications to ensure the Vprogram files have not been tampered with and are an important part of secure computing. The symptoms of the SmartVault desktop are outlined below for the three possible scenarios and their respective resolutions.


Symptom:

The SmartVault toolbar is not displayed after updating the SmartVault Desktop software.


Scenario 1:

When the admin logs into a QuickBooks company file that has already been provisioned in, SmartVault and is opened after updating the SmartVault Desktop to v.3.1 will require the following resolution.

NOTE: You must be the QuickBooks Admin or equivalent to execute these steps.


Resolution:

  1. Accept the Application Certificate that is displayed > Select "Yes, always; allow even if QuickBooks is not running" > Continue > Done.
  2. Sign into SmartVault if needed.

NOTE: You will see two instances of SmartVault listed in Integrated Applications, but this should not have any negative effects with your QuickBooks or you SmartVault applications.


Scenario 2:

When the admin logins into a QuickBooks company file that has never been integrated with SmartVault and has not been provisioned in SmartVault will require the following resolution with v3.1.
 
Resolution:

  1. Go to File > Close the company file > Open the Company file. (repeat this step until the application certificate appears (2 times)
  2. Accept Application Certificate > Select "Yes, always; allow even if QuickBooks is not running" > Continue > Done.
  3. Complete the Add Company dialog.

Symptom:

SmartVault displays an application error containing the following text: "This application has not accessed this QuickBooks company data file before. The QuickBooks administrator must grant an application permission to access a QuickBooks company data file for the first time." After closing this message, the QuickBooks company file opens and the SmartVault toolbar is gray and inactive.


Scenario 3:
A non-admin QuickBooks user opens the QuickBooks company file after the SmartVault client has been updated to v3.1 and the QuickBooks administrator has not had a chance to re-integrate SmartVault with QuickBooks.

Resolution:

Close QuickBooks and Contact your QuickBooks administrator to login to the company file and accept the SmartVault application certificate to re-integrate the application with QuickBooks.

Steps for the QuickBooks Admin:

NOTE: This must be done on a machine running both SmartVault and the QuickBooks client software.

  1. Exit out of SmartVault (Right click the SmartVault icon in the systray and select Exit).
  2. Go to Start > (All) Programs > SmartVault > SmartVault (if it is not the latest version, SmartVault will automatically check for the latest version). Install the latest version.
  3. Start QuickBooks and login to the company file as admin.
  4. Accept Application Certificate > Select "Yes, always; allow even if QuickBooks is not running".
  5. Choose "Admin" as the Login user in the application certificate.
  6. Click Continue > Done.
  7. Sign into SmartVault if needed and you should see the toolbar.

Special Consideration for QuickBooks 2010 UK Edition

Symptom:

The SmartVault integration for QuickBooks is not presented for the new SmartVault VeriSign certificate and the SmartVault toolbar is not displayed.


Scenario 4:

When the admin user logs into a QuickBooks company file that is not known to SmartVault, the tool bar is not displayed and the QuickBooks integration option is not presented for the new SmartVault VeriSign certificate.


Resolution:

  1. Ensure SmartVault Desktop is NOT signed-in and QuickBooks is closed.
  2. Launch QuickBooks and open the company file.
  3. Accept the SmartVault integration certificate for QuickBooks.
  4. Sign-in to the SmartVault desktop.
  5. Close the QuickBooks company file and re-open from the File menu.
  6. Exit QuickBooks and re-start QuickBooks.
  7. Accept the second SmartVault integration certificate for QuickBooks.
