With SmartRouting, you can print documents from tax software like UltraTax, CCH Axcess, or Drake Tax and automatically route them to the correct client or folder location in SmartVault. Enable SmartRouting for efficient document management in your tax workflow.
Important
You must be an account administrator to enable SmartRouting in your account.
Enabling SmartRouting in SmartVault
To enable SmartRouting:
- Sign in to the SmartVault Portal.
- Click your initials at the top of the screen and click Settings.
- Go to Account Settings > Manage Account and click Configure Integrations.
- Select SmartRouting from the left navigation.
- On the SmartRouting page, toggle the Enable SmartRouting button to turn it on.
Important
This is an account-wide setting. Once enabled by one person, it's ready for all users.
Adding a Formula for SmartRouting
A SmartRouting Formula is a rule that SmartVault uses to determine how files are automatically routed based on their file names. Each formula follows a specific file-naming format to ensure that files are correctly sorted into the appropriate client folders. For example, a formula might follow this structure:
yyyy [postal code] [client type initial] [client ID] [document type] [version number]
Once you enable SmartRouting, you must add the formula(s) that best match your document naming conventions.
- Click Add from Library in the SmartRouting configuration window.
- For CCH Axcess users: Select the single formula provided, which is designed to match CCH Axcess naming conventions.
- For Drake Tax users: Select both formulas in the library to cover all naming variations.
- For UltraTax users: Choose the formula that best fits your needs. You may add both formulas if necessary, but typically, only one is required based on your use of postal codes.
- After selecting the appropriate formulas, click Add Selected Formulas.
- You'll receive a confirmation message, and the added formulas will appear in the SmartRouting configuration window.
You can view and manage your formulas from the SmartRouting page. To remove a formula that is no longer needed or was added by mistake, click the delete icon next to it.
