Managing SmartRequests

ACCOUNTING PLAN USER

Account administrators and employees can efficiently manage, review, and track all SmartRequests using SmartVault’s request management tools. These tools support the entire lifecycle of a SmartRequest—from creation to submission and completion—with options to send reminders, review client submissions, generate workpapers, and archive or delete requests.

Actions for Individual SmartRequests

Click More Actions Actions icon.png next to a SmartRequest to open a menu of available options. Options vary based on the request's status.

  • Create Workpaper — Generates two PDFs containing all questionnaire responses and uploaded documents:
    • ClientName_Workpaper.pdf — questionnaire responses.
    • ClientName_Workpaper - Source Documents.pdf — uploaded files.
  • Review — Opens the client’s questionnaire responses and uploaded documents.
  • Get Link — Copies the client’s secure questionnaire link.
  • Delete — Permanently removes the SmartRequest (cannot be recovered).

Send a Reminder

You can send reminder notifications directly from the SmartRequests list.

  1. Go to Doc Requests > SmartRequests.
  2. Locate the SmartRequest you want to remind the client about.
  3. Click Send Reminder Send reminder icon.png.

SmartVault sends a reminder email with a secure link prompting your client to complete their questionnaire.

Bulk Actions

You can apply actions to multiple SmartRequests:

  1. In the SmartRequests tab, check the box next to each request.
  2. Click More Actions Actions icon.png in the top-right corner, then select any available option.
    Choose from:
    • Mark as Done — Close multiple SmartRequests.
    • Archive — Move requests to the archive.
    • Send Reminder — Email clients for all selected requests.
    • Delete — Permanently delete selected requests.

SmartRequest Status Updates

SmartRequests move through different statuses as they progress:

StatusDescription
ProcessingSmartRequest is being generated.
ErrorThere was an issue generating or sending the SmartRequest (e.g., invalid client email).
SentThe client has been emailed a secure link to complete the questionnaire.
SubmittedThe client has completed and submitted their questionnaire.
CompletedThe firm user marked the SmartRequest as done.
  

Manage Your SmartRequest Template

Firm Admins can customize the default questionnaire template used for SmartRequests.

To edit the template:

  1. From the SmartRequests tab, click More Actions Actions icon.png in the top-right corner, then select View Templates.

  2. Scroll to the bottom of the Request Templates list to find the SRAI Template.

  3. Click Actions Actions icon.png next to the template and select Edit.
  4. Use the Section dropdown (top-right) to browse question groups.

  5. Use Show/Hide toggles to control visibility.
  6. Use pagination to navigate through multi-page sections.

Add Custom Questions

  1. In the Section dropdown, select Other.
  2. Click the + button.

  3. Enter the custom question and click Save.

  Important Notes

  • Template changes apply only to future SmartRequests.
  • Existing SmartRequests are not affected.
  • Hidden questions do not receive AI-prefilled responses.
  • Only Firm Admins can manage templates.
