The SmartVault Portal lets you preview files directly in your browser without saving them to your device. You can also download, print, copy, and manage file details from the preview page quickly and efficiently.
Key Features
SmartVault users, including Guests, can:
- View documents in a browser: No need to download files or own the software used to create them.
- Access document versions: View all previous and current document versions.
- Display file information: See details like file description, owner, created date, modified date, and size.
- Open or print PDFs: Use the Preview window to open or print documents directly as PDFs.
For instance, if you're away from your work computer and receive an urgent client request, you can securely log in to the SmartVault Portal from any device with internet access to view or print documents quickly without downloading them.
Supported File Types
You can preview the following file types:
- Microsoft Office: .xls, .xlsx, .ppt, .pptx, .doc, .docx
- Text files: .rtf, .txt, .csv
- Email files: .msg
- Image files: .bmp, .gif, .jpeg, .jpg, .png, .tiff, .tif
- PDFs: .pdf
Previewing Documents
You can easily view your documents without downloading them:
- Sign In to the SmartVault Portal.
- Navigate to the vault or folder that contains the document you want to preview.
- Click the document's filename (underlined) to open it in Preview mode.
Customizing your Preview
Optimize your viewing experience using these tools:
- Navigate through pages: Use the arrows at the bottom of the preview to move to the next or previous page or enter a specific page number.
- Thumbnails: Click Thumbnails to see miniature previews of document pages and quickly jump to a selected page.
- Zoom options: Adjust the view by clicking the + or - buttons, or choose a zoom level of 25%, 50%, 75%, or 100%.
Performing Document Actions
From the preview page, you can:

Download a file:
- Click Download to save the file to your device.

Open or print as PDF:
- Click Actions and select Open or Print PDF to open the file in your PDF reader or print it.

Copy a file:
- Click Actions and select Copy to save a copy of the file to a different location

Edit file description:
- In the Details pane under File Info, click the Edit icon to add or modify the file's description.
- Enter the text and click Save.

View version history:
- In the Details pane, click View version history.
- Locate the desired version by its date.
- Click the Download icon next to the version to save it to your device.
Tip
Always confirm the version date before downloading to ensure you're retrieving the correct document.
File Details at a Glance
The Details pane provides essential information about the file, including:
- File Location: See the path where the file is stored.
- File Description: View or edit additional details about the file.
- Access Permissions: See who can view or edit the document.
