The Document View toolbar offers a range of actions to help you manage files and folders within the Document View pane in the Connected Desktop. Contextually, the toolbar changes the available actions depending on whether you work with a file or a folder. This guide will walk you through the various options for files and folders.
Options Active When a Folder is Selected
- Upload
- Clicking Upload opens a window that allows you to browse your computer for files to add to the selected folder.
- Scan
- Clicking Scan opens the Scan Document window, allowing you to add scanned or other document images to a folder.
- Send To
- Clicking Send To lets you send a link to the selected folder via SmartVault or Outlook directly from the Connected Desktop.
- Refresh
- Clicking Refresh reloads the view pane with the latest updates. Pressing the F5 key will also refresh your Document View.
- Expand
- Clicking Expand provides the options to:
- Expand All: Displays all files stored inside folders.
- Expand By Year: Shows all files inside folders for the current and last tax year.
- Collapse All: Hides all files inside folders.
Options Active When a File is Selected
- Send To
- Clicking Send To will give you various options for sending files to another computer or recipient. The options below the line depend on your computer and operating system.
Note that Fax Recipient and Mail Recipient use unencrypted files to transmit faxes or emails. Confidential files should not be used with these tools. - Open, Save, or Print
- Clicking Open, Save, or Print performs each respective action on a file using your computer's default settings:
- Open: Opens a file using your computer's default program (e.g., Adobe Acrobat for PDF files, Microsoft Word for .docx or .doc files, and Microsoft Excel for .xlsx files).
- Save: Opens a window allowing you to browse your computer and select a location to download the file.
- Print: Prints the file to your default printer.

- Clicking Refresh reloads the view pane with the latest updates. Pressing the F5 key will also refresh your Document View.
