Removing Company Files from SmartVault

Sometimes, you may need to remove a QuickBooks, QuickBooks Online, Xero, or FreshBooks company file from your SmartVault account. Here are a few reasons why this might be necessary:

  • You added a test company file while evaluating SmartVault and want to free up that license.
  • A company file was added by mistake or is no longer in use.
  • You need to make room for additional files or release a company license.

  Requirements

You’ll need Vault Manager or Administrative privileges to remove a company file.

Removing a Company File

To remove a QuickBooks, QuickBooks Online, FreshBooks, or Xero company file from your SmartVault account:

  1. Sign in to the SmartVault Portal and select View Files and Folders from the navigation sidebar.
  2. Select the account containing the company file you want to remove and navigate to the Vault with the relevant company file.
  3. Expand the software folder in the Application folder (e.g., QuickBooks, QuickBooks Online, etc.) and check the box next to the company file name you want to remove.
  4. Click on the trash can icon to delete the selected company file.

Considerations When Removing a Company File

Removing a company file means you'll no longer be able to:

  • Attach documents to QuickBooks entries using the SmartVault Toolbar
  • View documents and notes associated with QuickBooks entries
  • Share documents attached to QuickBooks entries
  • Back up or restore a QuickBooks company file using SmartVault

 Important

Deleting a QuickBooks company file from SmartVault also removes all documents, notes, and backups associated with that file.

This process applies to QuickBooks, QuickBooks Online, Xero, FreshBooks, Method CRM, Results CRM, or any other object that uses a company file license.

  Note on Company File Licenses

If you’re removing a company file to reclaim a license, please allow a few hours for the usage page to update before adding a new company file to your account.
