Hubdoc pushes your documents into SmartVault. Choosing the correct destination folder keeps your workflow organized, whether you’re working with accounting software integrations, long-term storage, or client-specific folders.
Before You Begin
- Consider how you’ll utilize your Hubdoc files in SmartVault.
- You’ll need the exact folder path, matching vault and folder names (including spaces and symbols).

Using Accounting Software Integrations
Point Hubdoc to your existing Inbox under a company file (e.g., QuickBooks, Xero, FreshBooks). Your bills, receipts, and statements land where you already process transactions.
Example path:
Clients/I-L/Larry's Landscaping/Applications/QuickBooks/Larry's Landscaping/Documents/Inbox -
Long-Term Storage Only
Create a vault or folder named Hubdoc in SmartVault and use it as your Destination. No client sharing needed, just archive everything in one place.

Client-Specific Work
Send Hubdoc documents into a folder inside a client’s vault (for payroll, taxes, and more). This keeps all the client’s files together.
Example path:
Clients/Lennox, Annie/Source Documents
Changing Your Destination Folder
- Sign in to Hubdoc.
- Click Accounts (top right), then select the Destinations tab.
- Find SmartVault and click Change next to Destination Folder.
- Enter (or paste) the full SmartVault path to your new folder.
Important: Names must match exactly. - Click Save.
That’s it—Hubdoc will now upload to your chosen folder in SmartVault!
Example
- If your SmartVault account does not have access to the SmartVault Dashboard and you were trying to select a folder within Sally's Salon called Upload to Accountant as your new Destination Folder, the file path would be:
- If your SmartVault account includes access to the SmartVault Dashboard and you were trying to select a subfolder within Lennox, Annie called Source Documents as your new Destination Folder; the file path would be:
Tips and Notes
- Inbox Folders: You can’t create sub-folders under an accounting “Inbox.” If you push a full folder structure there, only files (not folders) will upload.
- Special Folders: Avoid sending entire folder trees into QuickBooks “Documents” sub-folders, as they don’t accept new folders.
- Validation: After saving, upload a test document in Hubdoc and confirm it appears in the correct SmartVault folder.
