GENERAL USER

This glossary explains standard terms you’ll see in SmartVault Connected Desktop. Use it as a quick reference while managing clients, searching for files, and working with documents.

Commonly Confused Terms

  • Global Find vs. Document View Find
    Global Find searches across all client vaults, while Document View Find searches only within the currently selected client vault.
  • Client ID vs. Client Name
    Client ID is a unique identifier imported from your tax software, and Client Name is the human-readable display name.
  • Tax Type vs. Tax Engagement
    Tax Type identifies the entity type, while a Tax Engagement defines the folder structure for a specific tax year.

Glossary

Client ID

A Client ID is the unique identifier associated with a client. This value is imported from the client record in Lacerte or ProSeries.

Client ID appears as a column in the Client List pane and can be used to filter clients using the Search Bar.

Client Filter (Search & Filtering)

The Client Filter, located in the View menu, filters the Client List by tax type.


Client List (Navigation & Layout)

The Client List contains all clients in your SmartVault account. Clients may be:

  • Imported from Lacerte or ProSeries
  • Manually created in SmartVault

Selecting a client displays that client’s vault in the Document View pane.


Client List Pane (Navigation & Layout)

The Client List pane is located on the left side of the Connected Desktop window. It displays:

  • The Client List
  • The Search Bar

Copy (File Actions)

Creates an additional copy of a file in a different location without removing the original.

Shortcut: CTRL + C


Cut (File Actions)

Moves a file to a new location. The original file is removed after pasting.

Shortcut: CTRL + X


Drag and Drop (File Actions)

Allows you to move files or folders between your computer and Connected Desktop.

Click and hold a file or folder, drag it to the destination, then release the mouse button.


Document View Find Tool (Search & Filtering)

Performs a local search within the currently selected client vault only.

Related: Global Find Tool


Document View Pane (Navigation & Layout)

Displays all files and folders contained within a selected client vault. This is the primary workspace for managing documents.

Selecting a client in the Client List pane updates this view.


Document View Toolbar (Navigation & Layout)

Located at the top of the Document View pane, the toolbar contains tools for viewing, editing, and managing documents in a client vault.


Expand All Menu (Navigation & Layout)

Controls how folders are expanded or collapsed in the Document View pane.

Available options:

  • Expand All
  • Collapse All
  • Expand by Year (current and previous tax years)

Global Find Tool (Search & Filtering)

Searches for files or folders across your entire SmartVault account.

Because it searches all client vaults, it may take longer than a local search. Use Global Find when you’re unsure which client vault contains the file.

Local Cache (System Behavior)

Temporarily stores files on your computer as you open them from Connected Desktop.

The local cache is automatically cleared every 30 minutes.


Paste (File Actions)

Completes a Copy or Cut action by placing the file in the new location.

Shortcut: CTRL + V


PDF Editor (Document Tools)

The PDF Editor and Scan Document tool share the same interface.

From this window, you can:

  • View PDF files
  • Rotate and reorder pages
  • Add or delete pages

Refresh (System Actions)

Updates Connected Desktop to show newly added or updated clients, files, or folders.

  • Refresh the Client List: CTRL + F5 (Client List pane active)
  • Refresh a client vault: F5 (Document View pane active)

Search Bar (Search & Filtering)

Filters the Client List to quickly locate clients by:

  • Client Name
  • Client ID
  • Tax Type

Send To Menu (Sharing & Export)

Allows you to send files from SmartVault to your computer or share them with others.

Common actions include:

  • Downloading files
  • Sending file links via email

Tax Engagement (Tax Structure)

Defines the folder structure created for a client by tax year.

Standard folders may include:

  • Tax Returns
  • Source Documents
  • Tax Plan Reports
  • Client-accessible folders

Tax Type (Tax Structure)

Identifies the type of tax entity associated with a client. This value is imported from Lacerte or ProSeries.

Tax Type appears as a column in the Client List pane and can be used to filter clients via the Search Bar.
