Learning About the New SmartVault Dashboard

This article explains the changes to the newly updated SmartVault Dashboard, which makes it easier for users to manage folder/vault settings, account settings, billing information, My Info Settings, and upload and download files. 

Managing Folder/Vault Settings

Recycle Bin

When you delete a file or a folder in the SmartVault Portal, it is moved to the recycle bin. You can recover the item from the recycle bin for 90 days. After 90 days, deleted items are purged from your account. Documents and files stored in the recycle bin are not counted against the storage space allocated for your account. 

To delete a file or folder:

  1. Sign in to the SmartVault Portal.
  2. Browse to and select the file(s) or folder(s) you want to delete.
  3. Click the Send selected items to trash icon. 

To restore a deleted file or folder:

  1. Sign in to the SmartVault Portal.
  2. Go to the vault or folder that contains the file or folder which was deleted.
  3. Click the Container properties icon.
  4. Click the Recycle Bin tab.
  5. Enable the checkbox next to the items you want to restore.
  6. Click Restore

Activity Log

The Activity Log lets you audit who has accessed sensitive documents, which is important for security and compliance purposes.

To view the Activity Log:

  1. Sign in to the SmartVault Portal.
  2. Click Activity Log.

    The Activity Log displays the events that have taken place within the account.

    The toolbar on the right has 3 options. You can export the activity log as a .CSV file, which lets you sort and filter different events to find out what was deleted, moved, edited, and more.

    The filter icon lets you filter by license type and date range.

    The Configure button lets you display or hide columns.

Access and Notification Settings

To manage upload and download notification settings that are sent to you whenever someone uploads or downloads a file to a folder to which you have access:

  1. Sign in to the SmartVault Portal.
  2. Click the profile icon on the top right of the screen.
  3. Click Notification Settings.
  4. Select when you would like to receive upload and download notifications, and then click Save Changes.

Managing Account Settings

To manage your account settings, click the gear icon.

 The Account Settings appear.

Here you can :

  • Update your billing and payment information.
  • Configure integrations (such as RightSignature).
  • Manage account administrators, licensees, and custom group members.
  • Open an additional SmartVault account or close your current account.
  • Custom brand your Client Portal.

Managing Billing Information

All of your account invoices are stored on the Billing page, as well as your current plan and usage information and information on how to upgrade your plan.  

  1. Sign in to the SmartVault Portal.
  2. From the Dashboard, click the gear icon in the top right corner.
  3. Click Billing.
  4. The following page appears where you can view your current plan and usage, upgrade your plan, and view invoices. 

Managing My Info Settings

The My Info page lets you update your name, email address, phone number, and time zone.

To update your My Info Settings:

  1. Sign in to the SmartVault Portal.
  2. Click the profile icon on the top right of the screen.
  3. Click My Info.
  4. Update your information as needed.
  5. Click Save Changes

Uploading and Downloading Files

The Files and Folders dashboard allows you to upload, download, search, view, move, copy, edit, and delete files, folders, and vaults within your SmartVault account.

  • Navigation Pane - The navigation pane on the left side facilitates navigation through the vault and folder hierarchy that makeup your SmartVault account.
  • Details Pane - The Details pane on the right side allows you to select and perform the following actions one or multiple files, folders, or vaults. In order from left to right: Select All, Upload, Delete, Move, Copy, Create Folder, Create Vault, Refresh Details Pane, Search. Not all action icons will be visible at once as their availability is context-sensitive.
  • The Details Pane allows you to sort the items displayed by 3 criteria, though folders will always appear above files.

    Name: Sorts files and folders by name alphabetically from A to Z or from Z to A.

    Size: Size sorts files, but not folders, by file size from smallest to largest or from largest to smallest.

    Date Modified: Sorts files and folders by the date and time they were last modified from oldest to newest or from newest to oldest. If a file is uploaded and never modified, then the file's upload date and time is the Date Modified.

    You can perform the following actions on a specific file. In order from left to right: Get Signature, View Document, Download, Item Properties.
