Learning About the SmartVault Dashboard

This article will explore the SmartVault Dashboard view and its key features, including managing folder/vault settings, account details, billing data, personal settings, and file operations such as uploading and downloading files. 

Managing Folder and Vault Settings

Recycle Bin

Client vaults go to the Recycle Bin when you delete them from SmartVault. You have 90 days to recover deleted clients from the recycle bin. SmartVault removes deleted files from your account after 90 days

To delete a file or folder:

  1. Sign in to the SmartVault Portal.
  2. Browse and select the file(s) or folder(s) you want to delete.
  3. Click the Send selected items to trash icon. 

To restore a deleted file or folder:

  1. Sign in to the SmartVault Portal.
  2. Go to the vault or folder containing the deleted file or folder.
  3. Click the Container properties icon.
  4. Click the Recycle Bin tab.
  5. Select the checkbox next to the items you want to restore.
  6. Click Restore

Activity Log

The Activity Log lets you audit who has accessed sensitive documents, which is essential for security and compliance purposes.

To view the Activity Log:

  1. Sign in to the SmartVault Portal.
  2. Click Activity Log.

    Within the Activity Log, events related to account activity are detailed.

    You can use the options in the toolbar to export logs as a .CSV file or the filter function to sort events based on license type and date.

    The Configure button lets you customize column visibility.

Access and Notification Settings

You can customize your notification preferences regarding file uploads/downloads from folders you can access. 

  1. Sign in to the SmartVault Portal.
  2. Click the profile icon on the top right.
  3. Click Notification Settings.
  4. Adjust your notification preferences, and then click Save Changes.

Managing Account Settings

You can access your account settings to perform the following operations:

  • Update your billing and payment information.
  • Configure integrations (such as RightSignature).
  • Manage account administrators, licensees, and custom group members.
  • Open an additional SmartVault account or close your current account.
  • Custom brand your Client Portal.
To access your Account Settings, click the Settings icon .

Managing Billing Information

You can visit the Billing section to access invoices, see your current plan details, and learn about plan upgrades.

  1. Sign in to the SmartVault Portal.
  2. Click the Settings icon .
  3. Select Billing.
  4. Here, you can view your current plan and usage, upgrade your plan, and access invoices.

Updating Personal Details

You can use the My Info page to edit your personal information.

  1. Sign in to the SmartVault Portal.
  2. Click the Profile icon on the top right of the screen.
  3. Click My Info.

  5. Click Save Changes

Managing your Files and Folders

The Files and Folders dashboard allows you to upload, download, search, view, move, copy, edit, and delete files, folders, and vaults within your SmartVault account.

  • Navigation Pane - The navigation pane on the left side facilitates navigation through the vault and folder hierarchy that make up your SmartVault account.
  • Details Pane - The Details Pane is located on the right side of the screen and allows you to perform various actions on one or multiple files, folders, or vaults.
    From left to right, the available actions are: Select All, Upload, Delete, Move, Copy, Create Folder, Create Vault, Refresh Details Pane, and Search. The visibility of the action icons is context-sensitive.

    You can sort the items displayed in the details pane by three sorting criteria, though folders will always appear above files.
    Sorting Criteria:
    • Name: Arrange files alphabetically from A to Z or Z to A.
    • Size: Arrange files by their size, but it won't sort folders. You can sort from smallest to largest or from largest to smallest.
    • Date Modified: Arrange files and folders based on the date and time they were last modified. The oldest will be first and the newest will be last. If a file was uploaded but never modified, its upload date and time will be considered the Date Modified.
    You can also perform the following actions on a specific file. In order from left to right: Get Signature, View Document, Download, Item Properties.
