Creating New Containers and Redistributing Clients

If you use Intuit Tax with SmartVault, organizing your clients efficiently is crucial. Creating new containers within SmartVault allows you to categorize your clients for better management. This guide will walk you through creating a new container and redistributing your clients accordingly.

  Important

    • Please note that container names must be 3 characters long, including the "-" character, and should contain no spaces. Examples include A-A, A-B, A-C, A-F, A-H, and A-M.
    • Ensure that you do not create overlapping containers (e.g., A-A and A-D) as this may cause confusion in client redistribution.

Steps for Creating a Container and Redistributing Clients

For this example, we will create a container named "0-9" to organize clients whose names start with a digit.

  1. Sign in to SmartVault.
  2. Select View Files and Folders from the navigation sidebar.
  3. Click on the Clients container to open it.
  4. Click the Add button Add container button.png and select New container.
  5. In the Container name field, type "0-9" and click Create container.
  6. Return to the Clients container, click its Action button Actions icon.png, and select Properties.
  7. Go to the Redistribute Clients tab and click Submit Redistribute Request
  8. Close the window. An email will be sent to you once the redistribution of clients is complete.
  9. Revisit the Clients container and open the 0-9 container. You will see that clients with names starting with a digit have been redistributed into this new container.
Here's an animated guide illustrating the steps visually. If it appears too small, simply click the Expand icon KB - Expand icon.png in the bottom right corner to enlarge it.

Important Considerations

When creating new containers,

  • It's recommended to create all necessary containers first before starting the redistribution process.
  • SmartVault does not support the creation of sub-containers (a container within another container). Ensure your container naming scheme is clear and non-overlapping to avoid confusion.
