Sharing Files from the Connected Desktop

With SmartVault Connected Desktop, you can send files to your clients and users within your organization securely using any of the following options:

  • Send link to—share a file via SmartVault to clients, employees, or users invited to your SmartVault account. Recipients will receive an email with a link to access the file.
  • Email link to—send a link to a file stored in SmartVault through your default email application. This feature saves you time by automatically filling in the email address for your recipient and generating a subject and message.
  • Mail Recipient—send a password-protected file to any recipient who isn't a customer, guest, or user of your account.

  Important Consideration

Before sending files, ensure they are in the correct location in SmartVault. If necessary, create a new folder to organize your files. Additionally, verify that the recipient has the proper access permissions. To check this, go to the Clients tab in the Connected Desktop and select the appropriate client. Check that they have Upload permissions for the relevant folder.

Utilizing Email Clients for SmartVault Sharing

The Send Link feature from the Connected Desktop leverages your system's default email client, which means:

  • If your default email program is set to "Outlook," it will use Outlook.
  • If it's set to "Mail," it will use the Mail app, etc.

For Gmail Users

Gmail users can integrate their emails into Outlook or any other email client to utilize the Send Link feature effectively on Windows. Gmail itself does not have a standalone email client application. Therefore, downloading an email client (like Outlook) and setting up your Gmail account is necessary.

Sending a File Using the Send Link To Option

To send a file using the Send link to option:

  1. Open the SmartVault Connected Desktop.
  2. Locate the file you want to share.
  3. Right-click on the file, hover on Send to, and select Send link to.
  4. In Select User, select the name(s) you want to send the file. 

      Pro Tip

    Check the Select All checkbox to send a link to the file to everyone displayed.

  5. Enter a personal message (optional). You can use this to provide context or instructions.
  6. Click Send. The file is sent to the names selected.

Once you've shared the files, the recipient will receive an email notification with a link to access the files.

Sending a File Using the Email Link To Option

To send a file using the Email link to option:

  1. Open the SmartVault Connected Desktop.
  2. Locate the file you want to share.
  3. Right-click the file, hover on Send to, and select Email link to.
  4. SmartVault creates a new email using your default email application and automatically fills in the email address stored for your recipient. You can review and edit the content of the email as necessary.
  5. Click Send.

Sending a Password-Protected File Using the Mail Recipient Option

You can use the Mail Recipient option to securely send a document to someone not in your SmartVault account. Access the SmartVault Connected Desktop and send a password-protected PDF file via your computer's default email client.
