With SmartVault Connected Desktop, you can send files to your clients and users within your organization securely using any of the following options:
- Send link to—share a file via SmartVault to clients, employees, or users invited to your SmartVault account. Recipients will receive an email with a link to access the file.
- Email link to—send a link to a file stored in SmartVault through your default email application. This feature saves you time by automatically filling in the email address for your recipient and generating a subject and message.
- Mail Recipient—send a password-protected file to any recipient who isn't your account's customer, guest, or user.
- Copying the File Link via Properties—manually copy the file link and send it via your preferred email service.
Important Consideration
Before sending files, make sure:

- They are in the correct folder within SmartVault.
- The recipient has the necessary access permissions. To check this, go to the Clients tab in the Connected Desktop and select the appropriate client. Check that they have Upload permissions for the relevant folder.
Using Email Clients for SmartVault Sharing
The Send link to feature from the Connected Desktop uses your system's default email client:
- If your default email program is Outlook, it will use Outlook.
- If it's set to Mail, it will use the Mail app.
For Gmail Users
Gmail users can integrate their emails into Outlook or any other email client to effectively utilize the Send Link feature on Windows. However, Gmail itself does not have a standalone email client application. Therefore, downloading an email client (like Outlook) and setting up your Gmail account is necessary.
Sharing a File from the SmartVault Connected Desktop
Sending a File Using the "Send Link To" Option
- Open the SmartVault Connected Desktop.
- Locate and select the file you want to share.
- Right-click the file, hover Send to, and select Send link to.
- In Select User, choose the recipient(s) you want to send the file.
Pro Tip
Check the Select All box to send a link to the file to everyone displayed.
- (Optional) Enter a personal message. You can use this to provide context or instructions.
- Click Send.
Once you've shared the files, the recipient will receive an email notification with a link to access the files.
Sending a File Using the "Email Link To" Option
- Open the SmartVault Connected Desktop.
- Locate and select the file you want to share.
- Right-click the file, hover over Send to, and select Email link to.
- SmartVault will create a new email in your default email client with the recipient's address pre-filled.
- (Optional) Review or edit the email content.
- Click Send.
Sending a Password-Protected PDF Using the "Mail Recipient" Option
Use this option to send a PDF file to someone outside SmartVault securely:
- Open the SmartVault Connected Desktop.
- Locate and select the file you want to share.
- Right-click the file, hover over Send to, and select Mail Recipient.
- Follow the prompts to send a password-protected PDF file via your default email client.
Copying a File Link Using Properties
If you don’t want to use an email client like Outlook, you can manually copy the file link and send it via Gmail, Teams, Slack, or any other service:
- Open the SmartVault Connected Desktop.
- Locate and select the file you want to share.
- Right-click the file and select Properties.
- Find the Link url field and copy the URL.
- Paste the link into an email or message and send it to your recipient.
