GENERAL USER
If you use QuickBooks Online (QBO) with SmartVault, the SmartVault browser toolbar makes it easy to attach and manage documents directly from your Chrome or Edge browser.
With the toolbar, you can:
- Upload documents from your computer
- Attach existing documents stored in SmartVault
- View, edit, and manage files linked to QBO transactions

Note
You must have a User or Client license to use the toolbar.

Attaching a Document from Your Computer
- In QuickBooks Online, go to a supported transaction (such as a bill, invoice, credit memo, etc.).
- The SmartVault toolbar will appear on the right side of your screen.
- Click the paperclip icon to open the Upload and attach documents window.
- Do one of the following:
- Drag and drop a file from your computer into the window.
- Click Browse, then select the file you want to attach.
- Once uploaded, the document will appear in the attachment box, and the toolbar will display a badge icon indicating the number of attached files.
Attaching a Document from SmartVault
- On the toolbar, click the Inbox icon.
The Inbox folder for your QuickBooks company file opens. - To attach a file from the Inbox, click the plus (+) icon next to the file name.
- The file is moved to the correct transaction folder in SmartVault.
- Click Close when you're done.
Viewing and Managing Attached Documents
Once a document is attached to a transaction, the View attached documents icon on the toolbar (a document) displays a badge with a number indicating the number of attached files. If no documents are attached, the icon appears without a badge.
To view and manage attached documents:
- Click the View attached documents icon (document icon) on the toolbar.
- A window opens showing all files attached to the selected transaction.
- A window opens showing all files attached to the selected transaction.
- For each file, you can:
- Expand details: Click the down arrow to view more information like file name, size, creation date, and description. Click the up arrow to collapse the view.
- Edit details: Click the pencil icon to rename the file or add a description, then click Save.
- Download: Click the download icon to save a copy of the file to your computer.
- Remove: Click the trash can icon to delete the file from the transaction.
- Click Close when you're done.
