To use SmartRequestAI with Thomson Reuters® UltraTax, SmartVault must correctly identify and route the client's copy of the 1040 tax return. This article explains how to ensure the UltraTax document type is mapped and tagged correctly so SmartRequestAI can extract the appropriate prior-year data.
Before You Begin
- You must already have UltraTax connected to SmartVault.
- SmartRequestAI must be enabled on your SmartVault account.
- Familiarity with SmartRouting and SmartVault document tags is helpful.
Why This Configuration Matters
SmartRequestAI selects the most recently created document tagged as a Client copy of a tax return.
If multiple UltraTax document types are mapped to this tag—or if the wrong document is tagged—SmartRequestAI may not extract data correctly.
Important
Only the UltraTax document type ArchiveTaxReturn (or its custom name) should be mapped to the SmartVault tag Client copy of tax return.
Step 1: Update SmartRouting Mapping in SmartVault
- Sign in to the SmartVault Portal.
- Click your initials in the top-right corner and select Settings.
- Go to Account Settings > Manage Account, then click Configure Integrations.
- Select SmartRouting from the left navigation.
- On the SmartRouting page, locate the Thomson Reuters UltraTax formula.
- Click Actions
, then select Edit Mapping Details.
- In the Document Type column, locate ArchiveTaxReturn.
- In the Mapped SmartVault Tag dropdown, select Client copy of tax return.

Verify that only ArchiveTaxReturn is mapped to the SmartVault tag Client copy of tax return. This ensures SmartRequestAI consistently selects the correct prior-year return.
If any of the following document types are currently mapped to Client copy of tax return, update them to a different tag:- ActionRequiredK1Package
- Extension
- TaxReturn-ActionRequired
Note
You can map these document types to any existing SmartVault tag.
If you need to create a new tag in the tax engagement folder templates, we recommend you contact SmartVault Support, as folder template customization may require additional guidance. - Click Save Changes.
Step 2: Verify Document Selection Logic
SmartRequestAI selects prior-year data from the most recently created document tagged as Client copy of tax return.
At this point, you should expect the following behavior:
- The SmartRequest questionnaire is automatically prefilled with prior-year information (when applicable).
- The prior-year return used for extraction matches the most recently printed 1040 that is correctly tagged.
If prior-year data is missing, incorrect, or pulled from the wrong document, continue to step 3.
Step 3: (Optional) Use a Custom Document Name in UltraTax
If SmartRequestAI is still not pulling the correct 1040 after updating SmartRouting, you can use a custom document name in UltraTax to ensure SmartVault identifies and routes the correct return.
SmartVault selects the most recently created document associated with the mapped tag. Using a custom name makes that selection more explicit and reliable.
Update the Document Name in UltraTax
- In UltraTax, go to Setup > Office Configuration.
- Select the Print Options tab.
- Click PDF File Options at the bottom.
- Open the Document Names tab.
- Select Use custom names for PDFs.
- Under Tax Return (client copy), locate ArchiveTaxReturn.
- Change the document name to something unique, for example:
- ClientCopy
- ClientCopySmartRequestAI
- Click OK, then Done to save your changes.
Update SmartRouting to Match the New Name
After updating the document name in UltraTax:
- Return to SmartVault.
- Follow Steps 2–6 from Step 1 (Update SmartRouting Mapping).
- In the Document Type column, replace ArchiveTaxReturn with your new custom document name (for example, ClientCopySmartRequestAI).
- Ensure the document is mapped to Client copy of tax return.
- Click Save Changes.
Reprint the Returns from UltraTax
- In UltraTax, go to File > Print Returns, then select Clients.
- Select the clients whose returns you want to print, or click Select All to print returns for all clients.
- Under Focus, select 1040, then click OK.
- In the Print Returns dialog:
- Select Client Copy. (This is required for SmartRequestAI to extract the correct prior-year data.)
- Ensure PDF to file is selected for each document you want routed to SmartVault.
- Click Print.
Printing may take several minutes, depending on the number of clients selected.
The newly printed returns will be created using the custom document name and properly tagged, making them the most recently created eligible documents for SmartRequestAI.
