Introducing Act as Taxpayer and Send Back to Taxpayer for SmartRequestAI!

Firm users now have more flexibility and control when working with submitted SmartRequests—no need to duplicate or recreate requests.

Act as Taxpayer allows firm users to open a SmartRequest and update answers or upload documents on behalf of the taxpayer. This is useful when clients share information outside SmartVault or need assistance completing the form.

Send Back to Taxpayer lets firm users send a previously submitted SmartRequest back to the client with a custom message requesting updates. The client receives an email with a direct link back to the specific page needing attention, making it easy to review and respond.

Together, these new actions help firms:

  • Avoid unnecessary back-and-forth with clients
  • Correct or complete questionnaires more efficiently
  • Keep SmartRequests moving forward

Both actions are available when opening any existing SmartRequest and are automatically adjusted based on the request's status.

  Note

All new SmartRequestAI features released in this update are fully compatible with previously sent SmartRequests. There is no need to resend requests to access the latest functionality.

What's new?

SmartRequestAI: "Acting as Taxpayer" Experience

New feature available with this release:

  • Updated Landing Page 
    The landing page now aligns with the new Acting as Taxpayer functionality, providing a smoother, more intuitive experience for users accessing SmartVault in this role.

  • View-Only Access to Completed Questionnaires
    Firm and guest users can now navigate to completed questionnaires to review submitted answers. All fields are read-only in this state, providing a clear and accessible view of responses without the risk of accidental edits. The firm user would need to "reopen" the questionnaire to make any changes to the answers.
  • New Endpoint Enables Editing of Completed or Archived SmartRequests
    A new API endpoint allows firm users to restore a SmartRequest from Completed or Archived to Active. This unlocks the ability to make edits after the request has been finalized — something that was previously not possible without recreating the request.
  • Reopen Completed Requests
    Firm users can now reopen completed SmartRequests from the ellipsis menu to make edits when needed.
  • New More Actions (Ellipses) Menu for Firm Users
    A contextual ellipsis menu is now available in SmartRequests, showing options such as Get Link, Mark as Completed, Generate Workpaper, and Reopen, depending on the request's status.
  • Streamlined Main Action Buttons
    The SmartRequest interface now displays a single, context-aware action button based on the request's status, such as Mark as Complete, Generate Workpaper, or Send Back to Taxpayer. Save and Close appears only when applicable.
  • Disassociate Option Hidden for Completed Requests
    To maintain consistency in source document workpapers, the "Delete" button is now hidden for both firm and guest users when a SmartRequest is in Completed or Archived status.
  • Questionnaire Locking to Prevent Conflicts
    SmartRequests now use a locking mechanism to prevent multiple users from editing the same questionnaire/form at the same time. If a form is locked, fields are disabled, and users are notified with a message. Locks refresh automatically when available.
  • Clear Error When Disassociation is Blocked
    If another user has locked a SmartRequest, users attempting to disassociate documents will now see a clear error message explaining why the action can't be completed.
  • Shared SmartRequest Progress Tracking
    Both firm and guest users now see a shared progress bar that reflects the SmartRequest form's overall completion, making it easier to track progress and manage expectations.

SmartRequestAI: "Send Back to Taxpayer" Experience

New feature available with this release:

  • Send Back to Taxpayer Slide-Out Added
    Firm users can now initiate the Send Back action from the ellipsis menu, opening a slide-out panel to include a custom message before reactivating the SmartRequest.
  • Send Back to Taxpayer Now Fully Functional
    The Send Back action and related tools are now connected and ready for use, allowing firm users to reactivate SmartRequests and guide clients to specific form sections.

What was updated?

ProSeries Integration: Improved Client Data Import

Integrated intermediate ProSeries build to improve the accuracy and completeness of imported client contact data, particularly for spouse information. This update helps confirm and close previously reported data gaps. 

SmartRequestAI: Guest View — Clear "Submit" Action on Final Page

Updated the final page of the SmartRequest questionnaire for guest users to display a "Submit" button instead of a disabled "Next" button, making it clear when the form is complete and ready to submit.

SmartRequestAI: Confirmation Email Polished

Made multiple improvements to the SmartRequest submission confirmation email: the email now comes from the firm user (not the guest), uses the correct client folder name, displays only the client's name in the subject, and includes custom branding when available

What was fixed?

Renamed Vaults and Folders Now Update in Shortcut Bar

Fixed an issue where shortcuts didn't reflect updated names for renamed vaults or folders and sometimes led to an "Oops! Not found" error. Shortcuts now update correctly and link to the right location. 

Doc Requests: Unified Pagination Styling Across Browsers

Resolved a styling issue where the pagination component on the Doc Requests page appeared differently depending on the browser. It now displays consistently across all supported browsers.

SmartRequestAI Bug Fixes

The following fixes improve the stability, accuracy, and user experience of SmartRequestAI across guest and firm views:

  • Missing Field Values in Basic Info Section
    Resolved an issue where specific fields, such as Social Security Number, ID State, and spouse-related questions, appeared blank after saving and re-opening a questionnaire. Responses now display correctly.
  • Custom Branding for Bulk SmartRequest Emails
    Emails sent via SmartRequest bulk actions now respect your custom branding settings, including header logos, custom closings, and disclosure text.
  • Workpaper Version History Now Includes Creator Info
    When a firm user generates or updates a Workpaper, their name is now shown in the version history for better traceability.
  • Duplicate Footer in Custom Email Templates
    Emails now accurately reflect the customized content saved in the Email Templates page, without extra or repeated footer content.
  • Corrected Name Formatting in SmartRequest Forms 
    Fixed an issue where an extra comma appeared between the client's first and last name in form titles across both firm and guest views.
  • Selection Count
    The selection count in SmartRequest tables now clears properly after a request is deleted.
  • Removed Empty "Other" Tab in Questionnaires
    The "Other" section is now hidden from the client questionnaire when all custom questions are removed or hidden, reducing visual clutter.
  • Removed Blank Pages from Questionnaires
    Pages where all questions have been hidden will no longer appear as blank sections in the client questionnaire, providing a cleaner experience.
  • Editable Initial SmartRequest Email
    Firm users can now customize the first email clients receive for SmartRequestAI, directly from the Email Templates page. Restore-to-default is also supported.
  • Dependent Removal Issue
    Resolved an issue where the last dependent would reappear after being removed and saved. The system now correctly saves changes when the last dependent is deleted.
  • Resolved "Object Not Found" Error When Adding Custom Questions
    Fixed an issue where users encountered an "Object not found" error when adding a custom question to the SmartRequestAI template in certain existing accounts.
  • Workpaper Now Reflects Most Recent Document Upload
    Fixed an issue where replacing an uploaded document in the questionnaire didn't update the Workpaper – Source Documents. The workpaper now correctly lists the most recent uploaded document for each question.
  • Questionnaire Updated for 2025 IRS Changes
    Updated the SmartRequestAI questionnaire template to reflect Tax Year 2025 IRS guidelines: 
    • Removed the paper check refund option
    • Corrected form reference from 1099-INT to 1099-DIV
    • Increased gift thresholds to $19,000 and $38,000
