The Client Matching Tool allows firms to link clients in Intuit ProConnect Tax to their existing SmartVault vaults on a 1:1 basis. This prevents duplicate vaults from being created when tax documents are printed and routed through ProConnect. Matching must be completed before a firm begins printing returns to ensure documents are directed to the correct client vault.


Prerequisites

Before using the Client Matching Tool, confirm the following:

You are a SmartVault Administrator.

You are the Intuit ProConnect Tax Primary Administrator for your firm.

The client exists in SmartVault and Intuit ProConnect Tax. Firms should always create the client in SmartVault before printing from ProConnect.

Part 1: Connecting Intuit ProConnect Tax to SmartVault

This step only needs to be completed once per firm. If Intuit ProConnect Tax is already connected, skip to Part 2.

Navigate to Settings > Configure Integrations.

Locate Intuit ProConnect Tax and select Connect.

Review the disclaimer — this integration will give Administrators, Account Employees, and Seasonal Workers access to the firm's full Intuit ProConnect Tax client list. Select I Acknowledge and Agree to proceed.

You will be redirected to the Intuit ProConnect Tax login page. At this point, the Primary Administrator must log in — only the Primary Administrator can authorize the integration on the Intuit ProConnect Tax side.

Once logged in, Intuit ProConnect Tax will display a confirmation prompt. Select Connect to complete the integration. (Selecting No Thanks will cancel the process.)

The integration is now active. Proceed to Part 2 to begin matching individual clients.

Part 2: Matching a Client

Once Intuit ProConnect Tax is connected, clients can be matched on a 1:1 basis from within their individual client details.

In SmartVault, navigate to the Client Details page for the client you want to match.

Select the Integration Clients tab.

Select Link next to Intuit ProConnect Tax. A slide-out panel will open displaying all clients in the firm's Intuit ProConnect Tax account.

Locate the correct client:

Use pagination to browse the full list, or

Use the search bar to find the client by their full email address.

Once you've identified the correct client, select Match.

The Intuit ProConnect Tax client indicator will now appear in the client's SmartVault Client Details, confirming the match is complete.

When the firm prints a return for this client, it will be routed to the matched SmartVault client's vault automatically.


Troubleshooting & Common Errors

The Primary Administrator login isn't working

Only the designated Primary Administrator account in Intuit ProConnect Tax can authorize the integration. If you are unsure who your Primary Administrator is, verify this within your Intuit ProConnect Tax settings under Manage & Invite Users.

A client isn't appearing in the Intuit ProConnect Tax panel

Clients can only be found by their full email address. Partial searches will not return results. Confirm the email address being used matches exactly what is on file in Intuit ProConnect Tax.

The Match option is greyed out

The client already exists and is linked to Intuit ProConnect Tax.

The Match option is unavailable

The client is not Intuit ProConnect Tax, but exist in SmartVault.


What to Do If a Duplicate Vault Was Already Created

If a client was printed from Intuit ProConnect Tax before being matched to their existing SmartVault vault, a duplicate vault may have been generated. Follow the steps in this article to merge the vaults and consolidate the client's records.

Warning: Merging vaults cannot be undone. Confirm the correct vaults are selected before proceeding.

Does every user at the firm need to complete the Intuit ProConnect Tax connection?
No. The integration is set up once at the firm level by a firm administrator. All users will then have access to the full Intuit ProConnect Tax client list through the integration.

Does matching need to be done for every client?
Yes. Clients must be matched individually on a 1:1 basis. There is no bulk matching option at this time.

Can the match be undone?
Yes. The match can be undone on the Client Details page, in the Integration Clients tab, by selecting the ellipsis menu and choosing Unmatch.

Will this work with integrations other than Intuit ProConnect Tax?
Not at this time. The Client Matching Tool currently supports Intuit ProConnect Tax. SmartVault plans to extend this capability to additional platforms in future releases.
