Getting Started with SmartVault Request Docs

SmartVault Request Docs lets firms securely collect client documents throughout the engagement process. Firm users can create, send, and manage document requests directly from the Doc Requests dashboard in SmartVault, where all document collection tools are unified.

Accessing Request Docs

  1. Sign in to the SmartVault Portal.
  2. Select Doc Requests in the navigation bar.
  3. Click the Request Docs tab.

Here, you can create new document requests, monitor client progress, send reminders, and archive completed requests.

  Tip

If no document requests have been created yet, an onboarding tutorial will appear to introduce the main steps for using Request Docs. You can close it at any time and follow the same workflow outlined in this article.

How Request Docs Works

Request Docs supports collaboration between firm users and guest users to simplify the document collection process:

  • Firm User View – Firm administrators and employees create, send, and track document requests from the Request Docs tab in the Doc Requests dashboard.
  • Guest User View – Clients receive an email with a secure link to the SmartVault portal, where they can view the list of requested documents, upload or drag-and-drop files, mark items as not applicable, and submit their request once complete. 
    • They can also use SmartScan to upload documents directly from their mobile device.

Both firm and guest users interact through a shared workflow based on templates, which define the list of documents clients must provide. Templates can be reused or customized to match your firm’s specific needs.

What You Can Do with Request Docs

  1. Request documents manually — Build and send requests to clients based on templates.
  2. Track client progress View which files have been uploaded or are still pending.
  3. Send reminders — Prompt clients to complete outstanding requests.
  4. Archive requests — Move completed requests out of your active list.

Request Docs and SmartRequests

The Doc Requests dashboard brings together all your document collection tools:

  • Request Docs — Use to create and manage document requests manually.
  • SmartRequests — Use for automated, questionnaire-based document collection.

Both request types are accessible from the same workspace, helping you manage all client document activities in one place.
