Managing Requests in Request Docs

GENERAL USER

Account administrators and employees can efficiently manage, review, and track document requests from the Request Docs tab in the Doc Requests dashboard. These tools support the entire lifecycle of requests—from creation to archiving—with flexible options to send reminders, mark requests as done, and keep your workspace organized.

Accessing Request Docs

  1. Sign in to the SmartVault Portal.
  2. Select Doc Requests in the navigation bar.
  3. Click the Request Docs tab.

Here, you can create new document requests, monitor client progress, send reminders, and archive completed requests.

Managing Individual Requests

Each request row includes a More Actions menu RD - More actions icon.png with options that change based on status.

More Actions options

  • Review — Open the request to review uploaded documents and details.
  • Get Link — Copy the secure link to the client’s request. When the client opens this link, they’re prompted to log in and are automatically directed to the specific request form where they can upload their documents.
  • Mark as Done (visible when status is Submitted) — Mark the request complete.
  • Archive (visible when status is Completed) — Move the request to the archive.
  • Delete — Remove the request from the dashboard. 

Inline options

Some action buttons appear directly next to a request's status for quick access:

  • Review SRAI - Review icon.png — Appears when the request status is Submitted. Click to open and review the client's uploaded documents and responses.
  • Send Reminder Send reminder icon.png — Appears when the request status is Active or Sent. Click to send a reminder email to the client, asking them to complete and submit their request.

Key Actions

Send a Reminder

  1. Locate the request with the Active or Sent status.
  2. Click Send Reminder Send reminder icon.png next to the status. SmartVault sends a reminder email to the client with a link to their pending request.

Review a Submitted Request

  1. Locate the request with the Submitted status.
  2. Click Review SRAI - Review icon.png next to the status, or select Review from the More Actions menu.
  3. Review the uploaded files and comments, then close the window when finished.

Mark a Request as Done

  1. Locate the request with the Submitted status.
  2. From the More Actions menu RD - More actions icon.png, select Review.
  3. Check that you have all the documents you need from your client and click Mark as Done.

The request status updates to Completed.

Using Bulk Actions

You can apply actions to multiple requests at once.

  1. Select the checkboxes next to the requests you want to manage.
  2. Click More Actions RD - More actions icon.png in the top right and select any of the available options:
    • Mark as Done — Mark multiple requests as complete.
    • Archive — Move the selected requests to the archive.
    • Send Reminder — Send reminders to all selected clients.
    • Delete — Permanently delete selected requests.

Request Docs Status Updates

Each request moves through several statuses as it progresses:

Status Description
Sent The request has been sent to the client and is awaiting uploads.
Active The client has engaged with the request by uploading documents, commenting, or selecting "This Does Not Apply."
Submitted The client has finished your request and submitted their documents.
Completed The firm reviewed and marked the request as done.
