Managing Linked Clients in SmartVault

The Linked Clients feature in SmartVault allows you to effortlessly connect client accounts that share business, family, or legal relationships. For instance, if you manage personal and business accounts for a client who owns multiple companies, linking these accounts simplifies your workflow by providing quick access to all related files and folders without needing to search each account separately.

Key Benefits

  • Efficient Navigation—Moving between related client vaults saves time and effort. For example, if you're managing a family-owned business, link the personal accounts of the family members with the business account. This lets you switch between their individual and business financial documents in just a few clicks, enhancing productivity during tax season or financial reviews.
  • Improved Client Management—Maintaining a more organized view of interconnected clients is especially beneficial for accountants or financial advisors managing entities with complex ownership structures or family ties. Linking the accounts of a parent company and its subsidiaries can help you oversee their combined financials more effectively, ensuring no detail is overlooked during compliance checks or financial consolidations.

  Important Notes

    • User Permissions: Link creation and deletion are limited to Administrators, Account Employees, and Assigned Employees.
    • Link Limit: A client can have a maximum of 50 linked clients. You will receive an error message if you attempt to link more than 50 clients. You can proceed by removing some existing links.
    • Client Visibility: Linked Clients are only visible to clients if they have been invited to both vaults and use the Connected Desktop. Otherwise, clients cannot see Linked Clients.

Linking Clients in the Online Portal

To link clients in the SmartVault Online Portal:

  1. Sign In and Access Client Management:
  2. Select and Manage Client:
    • Click on the client you wish to link to other clients.
    • On the Client Details page, click the Linked Clients tab.

  3. Link New Clients:
    • Click the + Link Client button.
    • In Linked Clients Vaults, start typing to find the clients you wish to link. Then, select them from the dropdown list that appears.

    • After selecting the clients, click Link Clients.

  4. Review Linked Clients: 
    • The updated list shows the newly linked clients. To navigate to a client's vault directly, click the vault icon CM - Vault icon.png. To remove a link, click the delete icon Trash can icon.png.

Viewing Linked Clients in the Connected Desktop

To view and manage  linked clients in the SmartVault Connected Desktop:

  1. Open the Connected Desktop and Access Clients:
    • Log in to the Connected Desktop.
    • Navigate to the Clients list pane.

  2. Manage Client View:
    • Select the client whose linked clients you want to view.
    • The Linked Clients section is displayed at the bottom of the Clients pane by default.

      • If the Linked Clients section is not visible, go to the Menu bar, select View, and then Display Linked Clients

  3. Review and Manage Linked Clients: 
    • The Linked Clients displays all clients linked to the primary client.

    • Right-click on any linked client to access additional options, allowing you to manage linked clients efficiently from a single screen:

      • Open client in Portal: Opens the linked client's details in SmartVault.
      • Client Engagement: Starts a new engagement for the linked client.
