Firm users can send a SmartRequest back to the taxpayer when additional information, corrections, or documents are needed. Sending a request back reopens the questionnaire and notifies the client with a secure link and a custom message from your firm.
This workflow allows you to guide clients directly to the areas that need attention without resending the request.
When You Can Send a SmartRequest Back
You can send a SmartRequest back when it is in any of the following states:
- Sent
- Active
- Completed
The location of the Send Back to Taxpayer action may vary slightly depending on the request’s status, but the workflow remains the same.
Send Back (Sent or Active SmartRequests)
- Sign in to the SmartVault Portal.
- Go to Doc Requests and select the SmartRequests tab.
- Locate the SmartRequest you want to review.
- Click More Actions
, then select Review.
- Click Review Questionnaire.
- Click Send Back to Taxpayer.
On the Send Back SmartRequest screen:
- Enter a custom message explaining what needs to be updated.
- Click Send Back.
What the client sees:
The email sent to the client includes your custom message and a secure link that opens the SmartRequest directly at the questionnaire, allowing them to make updates immediately.
Send Back (Completed SmartRequests)
- Go to Doc Requests and select the SmartRequests tab.
- Click More Actions
next to the SmartRequest you want to edit, then select Review.
- Click Review Questionnaire.
- Click More Actions
in the top-right corner.
- Select Send Back to Taxpayer.
- Enter a message and click Send Back.
What Happens After You Send a Request Back
Email to the Taxpayer
The taxpayer receives an email that includes:
- Your custom message.
- A secure link to the SmartRequest questionnaire.
The link takes the client directly back to the request so they can make updates.
Email to the Firm User
After the taxpayer updates and submits the questionnaire:
- You receive an email notification confirming changes were made.
- The email includes a link to the questionnaire so you can review and manage the updated SmartRequest.
Next Steps After Client Updates
Once the client submits updates, you can:
- Review the changes.
- Act as the taxpayer, if needed.
- Mark the request as complete.
- Generate workpapers.
- Send the request back again if additional clarification is required.
