Managing Requests in Request Docs

Account administrators and employees can effectively manage, review, and track all document requests within their firm using SmartVault's request management tools. These tools facilitate the entire lifecycle of document requests, from initiation to archiving, with robust options to send reminders, mark requests as completed, and manage archives.

Request Docs Status Updates

  • Sent with a date — You sent the request to the client, but they have not yet responded.
  • Active — The client has engaged with the request by uploading documents, commenting, or selecting "This Does Not Apply."
  • Completed — The client has submitted all required documents, completing it.

In addition to these statuses, you can:

Reviewing Request Docs Requests

To review Request Docs requests:

  1. Sign in to the SmartVault Portal.
  2. Click Request Docs in the navigation bar.
  3. Go to the Request you want to review, click Actions actions_button.png, and select Review.

  4. You can see the request status and view any uploaded documents.

Sending Reminders

You can send email reminders to help your clients promptly respond to your requests. The link inside the reminder email goes to the Requested Docs tab within their Portal.

To send reminders to clients:

  1. Sign in to the SmartVault Portal.
  2. Click Request Docs in the navigation bar.
  3. Go to the request that needs to be completed and click Send Reminder.

  4. Your client will receive an email reminding them to respond to the Request.

Marking Requests Done

After completing all requests or projects, account administrators can mark requests as "Done."

To mark requests as Done:

  1. Click Request Docs in the navigation bar.
  2. Go to the request you want to mark as done, click Actions actions_button.png and select Review.
  3. Check that you have all the documents you need from your client and click Mark as Done.

  4. The Request Docs page changes the status of the requests you selected to Completed.
