Creating Proposals with Quoters

Creating a successful proposal is integral to winning new business. With Quoters, you can create customized proposals for your current and prospective clients. 

You can start from scratch or choose from the pre-designed templates and customize them to your needs.

In the example below, we are customizing the new default template for the Accountants: Individual Tax Return Engagement.

Let's get started:

Creating a Proposal for Existing Clients

To create a proposal using one of the available templates:

  1. From the Quoters Dashboard, click +CREATE NEW PROPOSAL,

    You can also access Client Management in SmartVault, click Actions Actions icon.png next to the client name, and choose Get Quote.

  2. Choose a template from the Discover our winning templates area by clicking on it.

  3. Start entering the basic information of your proposal:
    • Add a Proposal title.
    • Select the SmartVault Client from the drop-down menu.

        Important

      The client must have been invited through SmartVault and activated their account. 

    • Choose the Contact for the client. The default Role for the contact will be "Acceptor". In the case of multiple contacts, the default role for the first contact is “Acceptor”, and “Viewer” for the rest.

        Important

      If the client's contact has yet to be invited, hasn't activated their account, or needs their email address, an info icon appears next to their name to let you know that they can't be added to the proposal.

    • Optional: Click Additional settings for more options to personalize the proposal.

  4. Click LET'S GO.
  5. The new document is created from the template and opens in the Editor.

    • Each proposal contains sections (content blocks) that provide the structure of the proposal. You can think of the sections as the pages or slides of your documents or presentations.
    • Additionally, you'll notice the placeholders enclosed in brackets {{ }}, used to insert information on your proposals quickly and dynamically.
  6. Important: For this specific Individual Tax Return Engagement template, you must manually input information into the placeholders that are identified in italics and enclosed in single brackets [ ].

  7. You can scroll to explore the sections and discover all the elements you can customize.
    • Click the Edit icon QT_-_Edit_icon.png on the upper left corner of the section to access the options you can modify.
    • Click the Add section icon QT_-_Add_section_icon.png at the bottom of each block to add more sections to your proposal.

      • Text, images, or videos: use it to insert text, images, and videos, as well as insert tables.
      • Pricing table: use it to add your quotation. You can use rates and costs.
      • Saved sections: reuse any content you saved from other proposals.
  8. Make some changes and personalize your proposal. Write additional text, change fonts and colors, and add your branding.
  9. Click the Preview icon QT_-_Preview_icon.png on the upper right menu to preview your proposal as your client.

  10. Optional: Click the Actions icon QT - Vertical dots icon.png on the upper right and select Save template to save the customized template as your own.

Your first proposal is ready, and you can share it with prospects or clients.

Creating a Proposal for Prospective Clients

In Quoters, a Prospective Client refers to an individual or organization that has shown interest in a product or service offered by your business. Still, they have yet to make a purchase or commitment.

Creating proposals for prospective clients involves a process similar to existing clients but with a unique Step 3 to distinguish prospective clients. 

To create a proposal for a prospective client:

  1. From the Quoters Dashboard, click +CREATE NEW PROPOSAL, or click New proposal from the navigation bar. You can also access Client Management in SmartVault, click Actions Actions icon.png next to the prospective client name, and choose Get Quote.
  2. Choose a template from the Discover our winning templates area by clicking on it.
  3. Toggle the control to enable Prospective client. This action will adjust the fields for entering your prospect's information.

  4. Start entering the basic information of your proposal:
    • Add a Proposal title.
    • Enter the Client Name.
    • Enter the Main contact's first and last name and the Main contact's email. The default Role for the contact will be "Acceptor." In the case of multiple contacts, the default role for the first contact is "Acceptor" and "Viewer" for the rest.
  5. Optional: Click Additional contacts to add more contacts or Additional settings for more options to personalize the proposal.
  6. The proposal creation process continues from Step 4 onwards, as described in the Creating a Proposal for Existing Clients section.
