Using SmartVault as a Guest User

GUEST USER 

If your accountant or service provider invited you to SmartVault, you are using it as a Guest User.

SmartVault works like a secure shared folder managed by your firm. Your firm controls the folders and documents inside the portal, while you can upload and download files that have been shared with you.

As a guest user, you typically use SmartVault to:

  • View documents shared with you
  • Download or print documents
  • Upload the documents requested by your firm

Getting Started

Activate Your Account

Your firm will send you an invitation email to SmartVault.

  1. Open the invitation email.
  2. Click the activation link.
  3. Create your password to activate your account.

Sign In

  1. Go to the SmartVault login page.
  2. Enter your email address and password.
  3. Click Sign In.

You can access SmartVault from a computer, tablet, or mobile device using a web browser.

Explore Your Portal

After signing in, you will see the folders and documents your firm shared with you.

Most users will see:

  • A folder with their name or company name
  • A Public Documents folder containing shared forms or resources

Open these folders to view or download documents.

What Guest Users Can and Cannot Do

Understanding these permissions can help avoid confusion when using SmartVault.

What Guest Users Can Do

  • View folders and documents shared with them
  • Download files to their computer
  • Upload documents to folders shared by their firm
  • Search for documents within their accessible folders

What Guest Users Cannot Do

  • Delete files (including files they uploaded)
  • Move files between folders
  • Create folders
  • Rename files
  • Change account settings
  • Modify other users' access permissions

These actions are controlled by the SmartVault account administrator at your firm.

If you need a folder created or a file renamed, contact the person who invited you to SmartVault.
