SmartVault for Guest Users

Overview

Guests are individuals with whom a SmartVault user wants to share documents. Guests can upload and access files through the SmartVault portal, inbox, and mobile app.  

Typically, an accountant or document preparer invites their clients to access important documents in SmartVault as a Guest user. This ensures that each client can securely access their own tax forms or other documents in their vault.

  Note

As a Guest user, you can only upload and download files - upload, download, and view your files in the specific folders you have been granted access. Use the File Exchange option in the left navigation bar to upload requested files and review files uploaded quickly.

Getting Started with the New Guest View

Activating your Guest Account

  Note

To activate your guest account and access SmartVault, you must have your account administrator invite you. If you have not received an invitation email, reach out to your account administrator and ask them to invite you.

  1. Open your activation email from SmartVault.
  2. Click SmartVault Activation Link.
  3. Enter your phone number and password.

      Note

    The rest of your information is already entered by default.

  4. Click Create My User

Signing In to SmartVault as a Guest

  1. Go to my.smartvault.com.
  2. Enter your email address and password you used to activate your guest account.
  3. Click Sign In

Uploading Files to SmartVault

SmartVault recommends Guests use the File Exchange option to upload files to SmartVault. The File Exchange feature quickly identifies the folders where you have permission to upload files, so you don’t have to open every folder to see where you can upload.

  1. Log in to your SmartVault account.
  2. Select File Exchange. You will see only the folders where you can upload files.

  3. Click the folder where you would like to upload your files.
  4. Click Upload file to open the Upload file here window. Client_Source_Documents_upload_file.png
  5. Click Upload a file to browse for the file or drag and drop it into the window. Upload_a_file_.png
  6. Click Save file. A confirmation message appears. 
  7. Click the x to close the message.

Your accountant will automatically receive a notification whenever you upload files to your folder, so you don't have to let them know.

View and Download Files Shared with You

  1. Log in to your SmartVault account.
  2. Select Files and Folders in the left navigation. You will see the folders where all your files are available to you. 
  3. Click on the folder with your name or company name, referred to as a Vault within SmartVault.
  4. Navigate to the folder containing the files you want to view or download.

      Note

    In this example, we are viewing and downloading a 2020 tax return that your CPA has sent.

  5. Click the tax year folder TY20.

  6. Double-click the file to view it in the browser.

  7. Click Download to save the file to your computer.

  8. Click Back to close the preview window.
